    When planning a party, the magic is in the details. Stay organized and inspired for any event with our downloadable checklist templates, perfect for keeping track of guest lists, recipes, budgets and even inspiring clippings torn from magazines.

Create a Party Journal

Download and print our decorative page templates and tab dividers, and insert them in a three-ring binder. Keep everything organized and in place with these extra tips:

 

  • Use plastic sheet protectors to keep recipe cards clean when you’re in the kitchen.
  • Use folder inserts to store loose items like invitations and business cards from friends and favorite stores.
  • Take a cue from our charming templates and choose a binder with a festive cover, or get crafty and decoupage it.

Create a System

Juggling party details can be overwhelming without an organized approach. Make it a snap by compiling and sorting all of your party information into specific categories:

 

  • Guest Lists: List friends, family and co-workers with their addresses, phone numbers and e-mail addresses.
  • Food & Drink: Keep a list of recipes, drinks, menu ideas and favorite caterers. Use this section to also keep track of guests’ food preferences and allergies.
  • Décor: Stash clippings from magazines, printed web pages and jotted notes from friends or TV shows. Sort by theme, such as holiday or garden party inspiration.

Tip: Even the most abstract items can inspire amazing décor—a scrap of fabric can become your next party’s color palette.

 

Tip: Be sure to also include the addresses, phone numbers and websites of your favorite stores and florists.

Plan the Party

Now that details are compiled, put them to good use:

  • Budget: Examine your budget and holiday schedule to determine how much you can realistically spend. Stay conscious of the goal, and be open to compromise.

Tip: If you can’t live without a certain party favor, consider serving chicken instead of steak for dinner. Or, if invitations are costly, try recreating them.

  • Game Plan: Devise a to-do list in a timeline format. A few days before the party, tackle big jobs that can be done ahead of time, like food prep, and leave smaller details, like flowers, for the day of.

Tip: Decide on invitations, and place them in the mail approximately six weeks in advance.
